Two offices, one duty phone, and no call centre.

Enquiries reach the planning desk in Klein Windhoek and are answered by one of four people, usually within one working day and always by a name rather than a ticket number. Once you are on the road, the same office runs a twenty-four hour duty phone that knows which vehicle you are in and where the roadbook says you should be.

01 — Where we are

Windhoek plans it. Swakopmund runs the coast.

Vehicle handovers happen at the Windhoek yard or at either airport by arrangement. Coast collections, tide-dependent activities and Walvis Bay drop-offs are handled entirely by the Swakopmund office.

On the road — the duty phone

One number, answered by a rotating duty officer in Windhoek. Every self-drive vehicle also carries a two-way satellite messenger paired to the same desk.

02 — How a booking goes

Six steps, and you can stop at any of the first three.

Nothing is payable until step four, and the seven-day hold at step three costs nothing and commits nothing. Most people take about a fortnight to get from the first email to a deposit.

You write

Dates, days available, party, and roughly what you want to see. Two lines is enough to start with.

We route it

Within one working day: a day-by-day skeleton with distances, surfaces, gate times and a per-person figure.

We argue about it

Revisions are free and unlimited. This is the part that matters and the part most people rush.

Hold and deposit

Seven-day provisional hold at no charge, then 25% confirms every lodge, permit and vehicle on the route.

Balance and pack

Due at 45 days. The roadbook, lodge vouchers and permits arrive by email at 30 days and printed at handover.

Handover

Forty-five minutes at the yard: vehicle walk-round, tyre and recovery kit, satellite messenger pairing, and the route read through.

On the road

Duty phone twenty-four hours. We do not check in daily, but we do know where you should be each night.

One honest paragraph, please, and any road note worth putting into next March's roadbook revision.

03 — Booking windows by season

When to ask, not just when to come.

Namibian lodge capacity is small and the good camps inside the parks are state-run with hard release dates. These are the lead times that actually hold, taken from our own booking record.

Space is easy and rates are at their lowest. Ask three months ahead and you will get your first choice of lodge almost everywhere.

The window that fills quietly. Easter is effectively high season in Namibia and needs the same lead time as July.

Etosha's rest camps and the Sesriem inside-gate lodges are the constraint, not us. Ten months is not excessive for August.

October is superb for game and hard on people. December loosens up again after the first week, though the coast fills with Namibians.

What do you need from us to start?

Arrival and departure dates if you have them, the number of adults and children with ages, and one sentence about what the trip is for. Everything else we can work out with you.

Do you work with overseas agents?

Yes, on net rates, and we are happy to hold space for an agent's client on the same seven-day terms. Write to the Windhoek office and ask for the trade desk.

Which airport should we fly into?

Hosea Kutako International, forty-five minutes east of Windhoek, for every circuit we publish. Eros in the city is for the fly-in legs and scenic charters only.

Can you take a booking at short notice?

Sometimes. Inside six weeks we will tell you honestly what is left rather than reshuffle your route around whatever happens to be free. Green season, short notice is usually fine.
